Festival Prize Draw & Feedback Survey: Privacy Notice

At Walton Arts Festival, we are committed to protecting and respecting your privacy. This privacy notice explains how we collect, use, and protect your personal data when you enter our festival prize draw and/or opt in to receive a follow-up survey invitation.

For the purpose of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller.

1. What Information We Collect

When you fill out our festival postcard or digital entry form, we may collect:

  • Your email address (required to enter the prize draw and notify the winner).

  • Optional feedback responses (ratings and comments about your festival experience).

  • Your marketing/survey consent preference (whether you opted in to receive a follow-up survey invite).

2. How We Use Your Data & Our Lawful Bases

Under UK GDPR, we must have a valid legal reason (lawful basis) to process your personal data. We use your information for two separate purposes:

  • Purpose 1: Administering the Prize Draw

    • What we do: Use your email address to enter you into the draw, draw a winner, and contact you if you win.

    • Lawful Basis: Performance of a contract. By entering the prize draw, you are entering into a promotion agreement with us, and we need your email to fulfill it.

  • Purpose 2: Sending a Follow-Up Survey Invitation

    • What we do: Send you an email invitation asking if you would like to complete a feedback survey about the festival.

    • Lawful Basis: Consent. We will only send you this invitation if you actively ticked the optional consent box on your entry form.

  • Purpose 3: Festival Feedback Analysis

    • What we do: Review the feedback comments and ratings you provided to help improve future events.

    • Lawful Basis: Legitimate Interests. We have a legitimate business interest in analysing attender feedback to improve our festival experience, and this data is handled anonymously where possible.

3. Your Choice and Consent

Entering the prize draw is not conditional on agreeing to take the follow-up survey. You can freely enter the competition even if you leave the survey opt-in box unchecked.

If you do opt-in to the survey invitation, you have the right to change your mind at any time. Every survey email we send will include an instruction on how to contact us to withdraw your consent or unsubscribe.  

4. Who Has Access to Your Data?

  • Your data will only be accessed by authorised team members working on the prize draw and feedback survey. 

  • We will never sell, rent, or trade your email address to any third parties for marketing purposes.

5. How Long We Keep Your Data

  • Prize Draw Data: Email addresses collected for the prize draw will be deleted securely within 30 days after the festival ends and the prize has been successfully claimed.

  • Survey Respondents: If you take part in the survey, your individual feedback and contact details will be retained for no longer than  1 year, after which responses are fully anonymized.

  • Withdrawn Consent: If you withdraw your consent for the survey, your email address will be removed from our survey mailing lists immediately.

6. Your Data Protection Rights

Under UK data protection law, you have several rights regarding your personal information, including:

  • The right to access: You can request copies of your personal data.

  • The right to rectification: You can ask us to correct inaccurate or incomplete data.

  • The right to erasure: You can ask us to delete your personal data under certain circumstances.

  • The right to restrict or object: You can object to our processing of your data.

  • The right to withdraw consent: Where we rely on consent (like the survey invite), you can withdraw it at any time.
